If you have not organised a trip before you may like to use our template letters and forms on this page. Check first with your school office as they may have their own templates. You can easily download these letters to your own PC as Microsoft Word files and then amend them to suit your own itinerary, school policy and students.
Planning your trip – use our free planning schedule!
We have added a useful Tour Planning Schedule which you can download as an Excel file. Simply enter your proposed departure date and the planner will set the dates for each of the key steps in planning your trip. You can easily change the schedule to suit your own timescales. As you complete each task you can update the schedule.

Group/Room Lists – 8 weeks before departure
We need a Group list 8 weeks before travel and a room list for your group at least 4 weeks before departure. This will show us who will share rooms so that we can advise the hotel in advance of your arrival (you can move students on arrival). Please use the Room List form sent in your Rhapsody folder or download the Group List below and then email the completed form to info@rtours.co.uk
Please remember that students share TWIN rooms on most tours. TRIPLE rooms are in short supply and are usually only available where gender dictates (NB a child cannot have a single room). In Ypres, Normandy, Germany and Spain students share multi-bedded rooms. Please call us before completing your Room List as the hotels advise the type of rooms.
